The Landlord/Agent page

The Landlord page shows a summary of the portfolio, listing the number of properties, number of lodgings, number of tenants, number of empty lodgings and total credits.

If the 'Manage multiple landlords' option was checked this page will be labelled the Agent Details page, rather than the landlords page and an extra link to 'View landlords' will be available.

Suggestion

To send comments or suggestions, click on the 'Suggestion' link on the landlord page, which will bring up the suggestion page, where you can type your suggestion. Click on the 'Submit' button to send the suggestion, or alternatively click on the 'Cancel/back to landlords details' to ignore the suggestion.

Edit My Account Details

To edit your contact details recorded when you registered, click on the 'Edit My Account Link' link on the landlord page, which will bring up the the landlord details page containing the previously entered details of the landlord which can then be altered as desired. When the data in this window has been changed to your satisfaction then click on the 'Confirm' button to replace the previous information with that just entered, or alternately click on the 'Cancel' link to rescind the new data and keep that which was previously entered.

Landlords Manager

The Landlords Manager is designed to keep track of landlords managed by the letting agent.

To add a landlord to the portfolio, firstly show the list of landlords by clicking on the 'View Landlords' link at the bottom of the agent details page, which will bring up the Landlords Manager. The Landlords Manager page contains a grid of existing landlords.

To add a landlord in the Landlords Manager page, click on the 'Add Landlord' link which in turn will open up the Landlords Details page upon which the details of the landlord can be entered including forename,surname, address, postcode, phone number, mobile number, Email address. When these details have been completed the details can be entered into the system by clicking the 'Save' button, or alternatively clicking on the 'Cancel' link to delete the data before it is committed to the system.

To edit an existing landlord, click on the 'Edit' link to the right of the landlord. This will bring up the Landlord Details page containing the previously entered details of the landlord which can then be altered as desired. When the data in this window has been changed to your satisfaction then click on the 'Confirm' button to replace the previous information with that just entered, or alternately click on the 'Cancel' link to rescind the new data and keep that which was previously entered.

To delete an existing landlord, click on the 'Delete' link to the right of the landlord.

Costs Manager

The Costs Manager is designed to keep track of costs associated being a landlord rather than a particular property.

To add a cost to the portfolio, firstly show the list of costs by clicking on the 'View Costs' link at the bottom of the landlord page, which will bring up the Costs Manager. The Costs Manager page contains a grid of existing costs and the monthly costs total, which is calculated automatically from the sum of all the costs in the grid above it.

To add a cost in the Costs Manager page, click on the 'Add Cost' link which in turn will open up the Cost Details page upon which the details of the cost can be entered including supplier, amount,start date, interval, multiplier, description and notes. The interval and multiplier determine how often the bill recurs. An interval of month and multiplier of 3 would cause the bill to be due every 3 months. When these details have been completed the details can be entered into the system by clicking the 'Save' button, or alternatively clicking on the 'Cancel' link to delete the data before it is committed to the system.

To edit an existing cost, click on the 'Edit' link to the right of the cost. This will bring up the Cost Details page containing the previously entered details of the cost which can then be altered as desired. When the data in this window has been changed to your satisfaction then click on the 'Confirm' button to replace the previous information with that just entered, or alternately click on the 'Cancel' link to rescind the new data and keep that which was previously entered.

To delete an existing cost, click on the 'Delete' link to the right of the cost.

User Manager

To add a user to the portfolio, firstly show the list of users by clicking on the 'View Users' link on the landlord page, which will bring up the User Manager. The Users Manager page contains a grid of existing users.

To add a user in the users Manager page, click on the 'Add User' link which in turn will open up the user Details page upon which the details of the user can be entered. Each user requires a unique name and the password needs to be entered in choose password and confirm password. The actual password being entered will not be shown for security reasons. Each user should also be assigned a role, the landlord role will give the user full priveleges. The Assistant User role will prevent the user

When these details have been completed the details can be entered into the system by clicking the 'Save' button, or alternatively clicking on the 'Cancel' link to delete the data before it is committed to the system.

To change the password of an existing user, click on the 'Change password' link to the right of the user. This will bring up the change password page. The password needs to be entered in new password and confirm password. The actual password being entered will not be shown for security reasons. Click the 'Confirm' button to update the password, or alternately click on the 'Cancel' link to rescind the new data and keep that which was previously entered.

To delete an existing user, click on the 'Delete' link to the right of the user. You cannot delete yourself.

Viewing invoices and making payments

The Invoices Manager is designed to keep track of payments made to Terrabase for use of this Buy2Let web site.

To add a payment to the invoices, firstly show the list of invoices by clicking on the 'View Invoices' link at the bottom of the landlord page, which will bring up the Invoices Manager. The Invoices Manager page contains a grid of existing invoices and the total credits, which is calculated automatically from the the invoices in the grid above it and automatic debits made (see Credit History).

To add a payment in the Invoices Manager page, click on the 'Add Payment' link which in turn will open up the add payment page upon which the details of the payment can be entered including credits, and payment method. When a value is entered in credits the net, vat and amount will show the current cost of the credits. When these details have been completed the details can be entered into the system by clicking the 'Save' button, or alternatively clicking on the 'Cancel' link to delete the data before it is committed to the system.

If the payment method was credit card you will then asked to confirm the details, by clicking the 'Pay Now' button, or cancelling by clicking the 'cancel' link. If 'Pay now' is clicked you will be asked to enter your credit card details to complete the payment.

If you do not pay by credit card you have 7 days to forward payment before access is denied.

An invoice/receipt may be produced at any time by clicking the 'invoice' link to the right of the invoice in the invoices grid on the invoice manger page. The invoice is produced in a PDF format suitable for printing.

The 'Show' link can be used to view the full details of an invoice at any time.

The 'Top up credits' on the landlord page will also take you to the add payment page.

Viewing credit History

The Credit history allows you to see all invoices and all automatic debits made to your account.

To view the credit history click on the 'View Credit History' link at the bottom of the landlord page, which will bring up the Credit History Viewer. The Credit History Viewer page contains a grid of existing credit history.

The 'Show' link on the right allows the full details to be viewed.

The credit history cannot be edited or deleted.
